Our terms and conditions

boardingon.ai is an early-stage product. These Terms are a good-faith draft written by our team, not by a lawyer, and they are not legal advice. We are having them reviewed by legal counsel before the first real employee data is onboarded, and we will update this page when that review is complete. If anything here matters to your decision to use the Service, please raise it with us first at hello@boardingon.ai.

These Terms of Service ("Terms") are an agreement between boardingon.ai ("boardingon.ai", "we", "us") and the company that signs up for or uses our service (the "Customer", "you"). They govern access to and use of boardingon.ai (the "Service"). This is a business agreement, not a consumer one. By creating an account or using the Service, the person accepting these Terms represents that they are authorized to accept them on behalf of the Customer, and the Customer agrees to be bound by them.

The Service

boardingon.ai provides AI-assisted employee-onboarding tools — including onboarding-plan drafting, coaching suggestions, progress tracking, and manager reporting — generated from the content your company provides (such as role descriptions, SOPs, links, and recordings). It is an assistive, human-in-the-loop tool: a person on your team reviews and decides. We may add, change, or remove features over time.

Accounts and authorized users

You must be at least 18 years old (or of legal working age in your location) to use the Service. The account owner controls who is invited to your company's workspace and what each member can do. You are responsible for the accuracy of the information you provide, for keeping account credentials secure, and for the activity of the managers and hires who use the Service under your account. Notify us promptly of any unauthorized use.

Your content and the license you grant us

You retain ownership of the content you and your team submit — company documents, onboarding plans, notes, files, and the personal data of the people you onboard ("Customer Content"). You grant us only the limited, non-exclusive license needed to host, process, and display that Customer Content in order to operate and provide the Service to your company. We do not use your Customer Content for our own purposes, we do not sell it, and we do not use it to train AI models.

Your authority to upload employee data and company documents

Because the Service processes new-hire personal data and company documents on your behalf, you represent and warrant that you have all rights, authority, consents, notices, and legal basis needed to upload that data and those documents (including SOPs, role descriptions, and recordings), to grant the license above, and that your uploads do not infringe anyone's intellectual property or breach a confidentiality obligation. You are responsible for informing your own people, where required, that AI-assisted onboarding is used.

Acceptable use

You agree not to:

  • access, or attempt to access, data belonging to another company;
  • upload unlawful, infringing, or harmful content, or content you are not authorized to share;
  • disrupt, overload, reverse-engineer, or scrape the Service;
  • use the Service, or its AI output, to build or train a competing product or model; or
  • present AI-generated output as if it were solely human-authored, or use the Service to violate any applicable law.

AI-generated output

The Service uses AI to generate suggestions and draft plans. AI output is machine-generated and probabilistic: it may be inaccurate or incomplete, and it is not legal, HR, or employment advice. It must be reviewed by a person before it is relied upon, and you are responsible for how you use it.

People make the decisions, not the software

The onboarding plans, coaching suggestions, progress signals, and manager status views are informational aids only. boardingon.ai does not make employment decisions. Your managers and your company remain solely responsible for all hiring, performance, personnel, and other employment decisions, and the Service must not be used as the sole basis for an automated decision about a person.

Intellectual property

We own the Service, our software, and all related intellectual property. You own your Customer Content and the output generated from it. If you send us feedback or suggestions, we may use them to improve the Service without obligation to you.

Third-party services and subprocessors

We rely on a small set of third-party service providers to run the Service, including our AI provider (Anthropic). How your data is handled by these providers, and the current list of them, is described in our Privacy Policy.

Availability

We aim to keep the Service available and reliable and use commercially reasonable efforts to do so, but the Service is provided on an "as is" and "as available" basis without warranties of any kind, to the fullest extent permitted by law. We do not warrant that the Service will be uninterrupted, error-free, or that AI output will be accurate, and we make no uptime or service-level guarantee at this stage.

Limitation of liability

To the fullest extent permitted by law, boardingon.ai will not be liable for indirect, incidental, special, or consequential damages, or for any loss of data or profits, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the twelve months before the claim, except where such a limit is not permitted by law.

Indemnification

You agree to defend and hold us harmless from claims arising out of your Customer Content, your uploads, or your misuse of the Service — for example, a claim that content you uploaded infringed someone else's rights or was shared without authority.

Termination

You may stop using the Service at any time. We may suspend or terminate access if these Terms are violated or as needed to protect the Service or its users. On termination, you may retrieve your Customer Content within a reasonable window, after which it is deleted or anonymized as described in our Privacy Policy.

Governing law

The governing law and the venue for resolving disputes about these Terms will be finalized as part of the legal review noted at the top of this page; we have not stated a jurisdiction here rather than name one that has not been settled. Nothing on this page waives any right either party has under applicable law.

Changes

We may update these Terms from time to time. We will update the date above and, for material changes, take reasonable steps to let you know. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
